Refund & Cancellation Policy

1. Overview

This policy outlines the terms for cancelling your FlowForge Labs subscription and the conditions under which refunds may be issued. By subscribing to our services, you agree to these terms.

This policy should be read in conjunction with our SaaS Subscription Terms and Terms of Service.

2. Cancellation Process

To cancel your subscription:

  1. Send an email to hello@flowforgelabs.in with the subject line "Subscription Cancellation"
  2. Include your organisation name and the product you wish to cancel
  3. You will receive a confirmation email within 2 business days acknowledging your cancellation request
  4. Your access will continue until the end of the current paid billing period

3. Refund Eligibility

Refund eligibility depends on the type of payment and timing:

  • Setup Fees: Non-refundable once onboarding has commenced.
  • Monthly Subscriptions: No prorated refunds for partial months. Your service continues until the end of the paid period.
  • Annual Subscriptions: Eligible for a prorated refund within the first 30 days only.
  • Credits: Non-refundable and non-transferable.

4. Setup Fee (Non-Refundable)

The one-time setup fee is non-refundable once onboarding work has commenced. This includes but is not limited to:

  • Environment provisioning and configuration
  • Data migration or import
  • Integration setup
  • Onboarding calls or training sessions

If you cancel before any onboarding work has started, a full refund of the setup fee may be considered on a case-by-case basis.

5. Monthly Subscription Refunds

Monthly subscriptions are billed in advance. If you cancel mid-cycle:

  • Your service continues until the end of the current paid month
  • No prorated refund is issued for the remaining days
  • No further charges will be applied after the current billing period

6. Annual Subscription Refunds

For annual subscriptions:

  • Within 30 days: You may request a prorated refund for the unused months (minus the annual discount that was applied).
  • After 30 days: No refund is available. Your service continues until the end of the annual billing period.

Refund processing takes 7-14 business days from the date of approval.

7. Credit Forfeiture

Upon cancellation of your subscription:

  • Any unused service credits are forfeited and cannot be redeemed, transferred, or refunded
  • Credits that have already been applied to invoices are not reversible
  • Credit balances do not constitute a refundable deposit

8. Notice Period

  • Monthly subscriptions: No minimum notice period. Cancellation takes effect at the end of the current billing month.
  • Annual subscriptions: We recommend providing at least 15 days' notice before the renewal date to prevent automatic renewal.

9. Data After Cancellation

After cancellation:

  • You have 30 days to request an export of your data
  • After 30 days, all your data will be permanently deleted from our systems
  • We are not responsible for any data loss after the 30-day export window

10. Exceptions

FlowForge Labs may consider exceptions to this refund policy in the following circumstances:

  • Extended service outage directly caused by FlowForge Labs (exceeding 72 continuous hours)
  • Material misrepresentation of product capabilities during the sales process
  • Mutual agreement between FlowForge Labs and the customer

Any exceptions are at the sole discretion of FlowForge Labs and do not set precedent for future requests.

11. Consumer Protection Rights

This policy does not limit your rights under the Consumer Protection Act, 2019. If you believe our services constitute an unfair trade practice or deficiency in service, you may file a complaint with the appropriate Consumer Disputes Redressal Commission.
